Overview:

haca.studio partnered with the Brussels Regional Public Service (SPRB) for the organisation of their annual team networking event. Moving away from a traditional internal party format, the gathering brought together 700 attendees for a dynamic, professional networking experience designed to foster connection, alignment, and momentum for the year ahead. The project required rigorous operational planning, high-volume supplier coordination, and seamless guest flow management to handle a large-scale institutional audience calmly and effectively.

sWhat We Did

Event Management

We led the full operational event management process, from initial planning to on-site delivery:

• Venue Coordination: Managing spatial layouts and configuration to comfortably and securely host 700 professionals in a structured environment.
• Catering Management: Coordinating high-volume food and beverage services designed to maintain a smooth flow, prevent bottlenecks, and deliver an excellent guest experience.
• AV & Technical Production: Overseeing audio-visual requirements, lighting, staging, and technical execution for internal presentations and ambient atmosphere.
• Logistics & Guest Flow: Directing crowd management, arrival procedures, on-site signage logic, and cross-team coordination to guarantee a calm, structured event atmosphere.
• On-Site Operations & Supervision: Overseeing live execution, supplier synchronization, and real-time problem-solving throughout the event.

Impact

By combining rigorous operational planning with expert on-site coordination, haca.studio ensured the seamless delivery of SPRB's large-scale annual networking event for 700 attendees. Our work enabled the client to shift away from standard party logistics toward a polished, professional team gathering—allowing leadership and staff to focus entirely on engagement, networking, and celebrating collective goals in a calm and well-structured environment.
