The Challenge
For its latest high-level workshop, WHO Europe needed more than just a venue and a few PowerPoints. They required a partner capable of managing multiple moving parts across countries, formats, and stakeholders—without losing sight of quality or precision.
The goal? A seamless hybrid workshop experience that allowed in-person collaboration and online participation, supported by carefully structured logistics and documentation.
Our Role
Enter haca.studio. Our mission was to make sure the ideas could flow—by making everything else run smoothly behind the scenes.
We supported WHO Europe by:
- Coordinating all suppliers involved in the event, from venue to catering to AV technicians
- Managing travel logistics for international participants and speakers
- Designing and adapting floorplans to support the workshop format and flow of movement
- Setting up a hybrid solution that connected remote speakers with the live workshop in real-time
- Assembling and formatting all workshop materials—visual aids, templates, and tools—for optimal use and documentation
- Creating a clear post-event asset archive to help WHO Europe map action plans and track implementation
The Outcome
The result was a well-organised, high-impact workshop where stakeholders could stay focused on strategy—not logistics. Remote speakers were seamlessly integrated into the program, floorplans matched the energy of each session, and all materials were professionally delivered and documented for long-term use.
