What we do (scope & positioning)
We specialise in high-stakes institutional events such as conferences, summits, policy forums and formal meetings where objectives, stakeholders and constraints must be carefully balanced.
Depending on the context, we support these events through Event Audit, Event Advisory, and Event Coaching upstream, followed by Event Management, Event Communication, and Event Marketing, where relevant. Our role adapts to what the event needs, not the other way around.
Strategy is where we start.
Many clients engage us first through an Event Audit or Event Advisory to clarify objectives, assess risks, define formats and structure agendas before committing to delivery. In some cases, we also provide Event Coaching to support internal teams.
When needed, this strategic phase naturally leads into Event Management and delivery, once the right structure is in place.
We work primarily with EU institutions, associations and NGOs, as well as organisations operating in EU and international policy environments.
Our clients usually face complex governance, multiple stakeholders or political and institutional constraints. In these contexts, our mix of audit, advisory and management services helps bring clarity and control before moving into execution.
No. While we are based in Brussels, we work across Europe and internationally. Brussels gives us proximity to EU institutions and policy environments, but our projects often involve on-site delivery elsewhere, supported by distributed teams and coordinated through our event management and advisory framework.
Yes, when they make strategic sense. We advise on format choice during the Event Audit and Advisory phase, helping clients decide whether in-person, hybrid or digital formats best serve their objectives. We then support the chosen format through Event Management and Technical Moderation, ensuring consistency and reliability. Hybrid is a design decision, not a default.
We approach sustainability as a result of good strategy, not as a standalone feature.
Through Event Audit and Advisory, we often identify opportunities to reduce unnecessary scope, travel, suppliers and materials. More efficient formats, clearer objectives and better coordination typically lead to lower environmental, operational and budgetary impact.
Sustainability starts upstream, before production begins.
We have managed event budgets up to 500,000 EUR directly through haca.studio projects.
In addition, senior members of our team have previously managed EU framework contracts and institutional event programmes with budgets of up to 2 million EUR, within complex governance and procurement environments.
This experience informs how we approach budget structuring, cost control and risk management, regardless of the project scale.
