The Things You Only Learn on a Site Visit

Every event begins before anything is set up. Long before the first cable is taped down or the first badge is printed, visiting the site is what lays the groundwork.

The room is empty. No signage, no staging, no sound. Just space, and (many) questions to answer.

Start with Space, Not Specs

We walk in to get a clear understanding of how the event will actually work: access points, traffic flow, natural pinch points, visibility lines. Where will people enter, wait, and walk through? How does the space support (or challenge) the plan on paper?

Pause, Observe & Ask

There’s a rhythm to these visits. We stop and look at what’s in front of us. How high is the ceiling? Where can you hang lighting? Does a projection screen work with the daylight here? Where can cables run safely? How good is the Wi-fi? How easy is it to find power? We note flooring types and fixture placements.

Just as important is what we ask the on-site teams: they are usually the best source of information. They know how things are done, where there’s flexibility, and what’s caught others off guard before. We ask about delivery schedules, room resets, access hours, and noise restrictions. We ask what’s worked well, and what hasn’t.

Document the invisible details

We document as we go. Photos from every key position. Videos that show routes from entrance to stage. Notes on spacing, timings, and setup conditions. In a nutshell, we collect all information we will need to make decisions quickly and accurately later on. And we look for anything that isn’t in the brief but will affect the experience. That might be background noise, temperature shifts, or awkward lighting. These are things that don't show up in specs but can affect how an event feels and functions.

A site visit gives us a clear sense of what’s possible. It helps us adapt early, avoid surprises, and make better calls once we’re building for real. It’s how we get set to deliver something solid.
